“When can I have it?” is the second question every customer asks, right after price. For custom embroidery the honest answer is: usually one to two weeks from the moment you approve your proof. This guide breaks down exactly where that time goes, what speeds it up, what slows it down, and how to plan an order around an event, a new hire date or a trade show.

Where the Time Goes: The Embroidery Workflow
- Quote and payment. You send your logo, garments, colors and quantities. We confirm pricing.
- Digitizing. Your logo is redrawn stitch by stitch for thread. This is the step most people do not know exists. See our embroidery digitizing guide (stitch types, underlay and file formats).
- Proof. You get a mockup showing size, placement and thread colors within 24–48 hours.
- Garment ordering. Blanks ship to us from our supplier warehouses, usually in 1–3 days.
- Hooping and stitching. Each garment is hooped and sewn. Production speed depends on stitch count and machine heads; see single-head vs. multi-head embroidery machines.
- Finishing and QC. Backing is trimmed, jump threads cut, every piece inspected, folded and packed.
- Shipping. Ground shipping in the US usually takes 1–5 business days depending on distance.
What Speeds an Order Up
- Approving the proof quickly. A same-day approval can save two or three days.
- Sending a clean vector logo (AI, EPS, PDF or SVG). Clean art digitizes faster and with fewer revisions.
- Reordering an existing design. Your digitized file is on record, so there is no digitizing step at all.
- Choosing in-stock core garments. Popular colors and sizes from major brands arrive fastest.
- Keeping stitch counts reasonable. A 6,000-stitch left-chest logo runs much faster than a 40,000-stitch full back.
What Slows an Order Down
- Multiple proof revisions or changing the design after approval.
- Backordered colors or sizes (we will offer alternates).
- Very large or dense designs, 3D puff, or many thread colors.
- Specialty items such as caps with unusual structures, bags or thick outerwear that need special hoops.
- Peak seasons: late fall holiday gifting and early spring team and company orders.

For a standard embroidery order shipping within the US, a safe plan is to start three weeks before you need it:
- Day 1–2: quote, payment, proof.
- Day 3–12: production (10–14 business days).
- Day 13–17: shipping and a buffer day.

How long does custom embroidery take?
Most standard orders take 10–14 business days after you approve the proof, plus shipping. Mixed orders run 10–14 business days and 500+ pieces run 10–15.
When does the production clock start?
When you approve your proof, not when you first send the logo. Proofs usually arrive within 24–48 hours of payment.
Do you offer rush embroidery?
Yes, rush production is available depending on the current schedule and garment availability. Tell us your in-hand date on the quote form.
Why does digitizing add time?
A logo has to be converted into a stitch file with paths, densities and underlay before a machine can sew it. It is a one-time step; reorders skip it.
Is embroidery slower than screen printing or DTF?
For small quantities DTF is fastest (3–5 days). Embroidery is sewn one garment at a time per head, so large runs of dense designs take longer than printing.
How long does shipping take after production?
Ground shipping in the continental US is typically 1–5 business days. Faster shipping is available at checkout or on request.
