Coaches are on their feet all day. Practice, games, clinics, film review, travel, fundraisers, team meetings, all of it while representing a school, program, or club. A good coaches polo is part uniform, part armor, part recruiting tool. It needs to breathe on an 95-degree August practice field, hold up to a wash cycle three nights a week, and still look sharp when you're walking a recruit through the facility. That's a tall order for a shirt.
This guide is for athletic directors, head coaches, assistant coaches, trainers, and anybody else buying custom coaches polos for a staff. We'll cover which garments actually hold up, what embroidery setup matters (and which doesn't), how pricing works at real volume, and what mistakes rookie programs make when ordering coaching apparel for the first time.
What Makes a Coaches Polo Different From a Business Polo
A coaches polo and a corporate polo look similar at a glance, same collar, same 2-3 button placket, same overall silhouette. But the fabric and construction are very different, and that's what matters when a coach is going to wear it 3-5 times a week for an entire season.
Corporate polos are typically 100% cotton or cotton-blend pique. They're comfortable indoors in climate control, but they soak through with sweat and wrinkle badly after a morning of walking from field to field. Coaches polos, by contrast, are built around performance fabric:
- 100% polyester or polyester blends (usually 140,180 gsm) instead of cotton
- Moisture-wicking technology, Nike Dri-FIT, Sport-Tek Sport-Wick, Augusta DriFit, Holloway PowerDry, Port Authority Dry Zone
- Micropique or micromesh construction for breathability and quick drying
- Antimicrobial treatment on most premium options to fight odor from sweat
- UV protection (UPF 30+) for outdoor use, this matters in Nevada, Arizona, Texas, and Florida especially
- 4-way stretch on the premium tier, so it moves when you're demonstrating footwork or throwing BP
- Flat-knit collars that hold their shape after repeated washing (cheap polos curl at the collar within a season)
The decoration method also differs. Corporate polos often get a simple left-chest embroidery and that's it. Coaches polos frequently carry multiple decorations, school/team logo on left chest, coach's name or "Head Coach" on right chest or sleeve, program name embroidered on the back yoke or shoulder, sport icon, or a conference patch. That means choosing a shop that can handle multi-position embroidery cleanly matters a lot.

Our Recommendation for Most Programs
For the majority of high school and college coaching staffs, the mid-range tier hits the right balance. A Sport-Tek ST550 or Port Authority K398 gives you the moisture-wicking, UV protection, and durability coaches actually need, without the Nike premium. Embroidered cleanly with your school colors and a 3-letter monogram or mascot, it looks completely professional and lasts multiple seasons.
The Nike Dri-FIT premium tier makes sense when: (1) your AD or head coach wants the Swoosh on the sleeve for recruiting optics, (2) your program has sponsorship support for apparel, or (3) you're building a multi-tier system where head coaches get Nike and assistants get Sport-Tek. In our experience, most Nevada programs stick with the mid-range tier and use the savings to outfit more of the staff, including equipment managers and trainers.
How Much Do Custom Coaches Polos Cost?
All-in pricing (garment + embroidery) for a typical coaching staff order with one or two decoration locations:

Volume matters. Going from 11 pieces to 12 pieces drops per-polo cost by about 10%. Going from 23 to 24 drops another 10%. A full athletic department order (40+ coaches and staff, from head coaches to trainers to AD staff) gets you into the 48+ tier where per-polo pricing is at its best. One-Time Digitizing Fee
Every new logo needs to be digitized, that's the process of converting your artwork into a stitch file the embroidery machine reads. We charge a one-time $35 digitizing fee per logo, waived on orders of 12+ pieces. Once your logo is digitized, we keep the file on record forever, so your next reorder of replacement polos (or matching hats, jackets, bags) has zero setup cost.
Decoration Options: Getting the Look Right
A coaches polo can carry anywhere from one to four embroidered decorations. Here's how the most common layouts work and what they cost to add:
1. Left-Chest Logo (Standard)
The workhorse. School, team, or program logo embroidered on the left chest, roughly 3.5" wide. This is the default for every coaches polo. 5,000,10,000 stitches for most clean designs, no upcharge beyond the base price. Works with almost any logo.
2. Right-Chest or Sleeve Text
Coach's name, title ("HEAD COACH", "FOOTBALL"), or short text. Typically 1,000,2,500 stitches. Adds about $4,$6 per piece if ordered at the same time as the main embroidery (screens, thread, setup are already in place).
3. Back Yoke or Shoulder Decoration
Larger program name, school mascot, or conference branding across the upper back or shoulder. Adds $6,$10 per piece depending on stitch count. A lot of varsity programs run "HAWKS FOOTBALL" across the back yoke in block letters, it reads well from a distance and photographs great for recruiting content.
4. Sport Icon or Secondary Logo
A small secondary icon (baseball, football, basketball) stitched on the opposite chest or back of the collar. Usually 500,1,500 stitches. Great for multi-sport coaching staffs where you want to differentiate roles.

Thread Choice: What Actually Shows Up on the Shirt
Thread is the part most programs never think about, but it affects how your embroidery holds up after repeated washing. Polyester embroidery thread is the industry standard for performance polos, it matches the garment fiber content, resists bleach, doesn't fade in UV, and keeps its sheen wash after wash. We stock Madeira Polyneon and Isacord, both premium polyester threads used by the major custom programs. Pantone matching is available if your school has specific colors that aren't in the stock thread library, add a few days to turnaround for custom Pantone thread match.
Turnaround: When to Order Before Your Season
Standard turnaround on a coaches polo order is 2 to 3 weeks from art approval to shipment. Here's how that timeline typically works:
- Week 1: Art review, quote, 100% payment, logo digitizing, digital proof sent for approval, garments ordered from wholesaler
- Week 2: Garments arrive, embroidery production runs, quality check
- Week 3: Pickup or ship, typically 1,2 days transit in the Western US
When to order for your season:
- Fall sports (football, XC, soccer): order by mid-July for first-practice delivery
- Winter sports (basketball, wrestling): order by early October
- Spring sports (baseball, track, softball): order by mid-January
- Year-round programs & AD staff: order in June or July when wholesalers have full stock and shops have open production slots

Common Mistakes When Ordering Coaches Polos
We see the same handful of mistakes from first-time ordering programs. If you avoid these, your first order will go smoother than 90% of the orders that land on our digitizing table:
- Ordering cotton polos thinking they'll work for the sidelines. Cotton soaks through by 10 AM at an August football practice. Spec performance fabric (100% poly, Dri-FIT, Sport-Wick) for anything outdoor.
- Not asking about digitizing fees. Some shops tack on $50,$100 setup fees per logo. We waive digitizing on 12+ piece orders and charge a flat $35 on smaller orders, no surprises.

- Using a low-resolution logo. A 72 DPI JPEG from your school's website won't embroider cleanly. Work with our graphic design team or send vector files (AI, EPS, SVG) to get clean output.
- Mixing too many thread colors. Every additional thread color adds setup time. A clean 2-3 color logo embroiders faster and cleaner than a 6-color gradient that only works as screen print.
- Waiting until the week before practice starts. Wholesaler stock on popular styles (especially Nike) runs thin in peak season. Ordering early guarantees your choice of garment and color.
